Sound By ICW (“we,” “our,” or “us”) provides recording, mixing, mastering, podcast production, acoustic consulting, system design, and installation services. We respect your privacy and collect only the information necessary to deliver these services. This includes information you provide directly—such as your name, contact details, project information, audio files, reference materials, room measurements, on-site details, and payment information processed through trusted third-party providers—as well as information generated during the work, including session files, mixes, masters, revisions, acoustic measurements, system tuning data, and documentation related to consultations or installations. We also receive basic website analytics and functional cookies, but we do not sell or collect unnecessary data.

We may request the use of audio, project files, photos, or video created during your project for marketing purposes during scheduling and contracting. Any use of unreleased or in-progress content will be coordinated with you in advance. Your information is used to communicate with you, schedule and complete services, deliver project materials, maintain administrative and financial records, and improve our offerings.

Project data is stored in-house on encrypted, double-redundant Network Attached Storage with access limited to you and approved engineers. Data transfers use encrypted services such as Dropbox. Payment information is handled entirely by secure third-party processors. While no system is completely immune to risk, we implement strong measures to protect your data.

We share information only when necessary to complete your project, support operational needs through trusted vendors, engage subcontractors, or comply with legal requirements. We never sell or rent your information. You may request a copy of your personal information, corrections, deletion when allowed, or clarification on how your data has been used.

Our services are not directed to children under 13, and we do not knowingly collect information from minors without parental consent. Our website may contain links to third-party sites, and we are not responsible for their privacy practices. We may update this policy as needed, and the latest version will always be posted here.
